The site is hosted by Aruba S.p.A. in Italy, acting as data processor (Art. 28 GDPR). Like any web server, it records in its technical logs the IP address, date and time, requested page and browser type. These are used only to run and secure the site (legitimate interest, Art. 6(1)(f) GDPR) and are kept by the provider only as long as strictly necessary.

To know how many people visit the site and which pages they read, the site itself records each page view: page address, referring site, device type, browser, browser language and time spent on the page. It uses no cookies and does not keep the IP address: to count visitors it computes a non-reversible fingerprint that changes every day and cannot recognise you on later days. The data stays on the site’s server, is read only in aggregate form and is deleted after 13 months (legitimate interest, Art. 6(1)(f) GDPR).

When you submit the form on the Contact page, what you write (name, company, email address, message) goes through the website’s server, which sends it as an email to info@artistproof.it, and is not stored on the server. To limit abuse, the server keeps only a non-reversible fingerprint of the IP address for 24 hours. The data is used only to reply and follow up on your request (Art. 6(1)(b) GDPR), is kept for the duration of the correspondence and is not shared with third parties.

If you subscribe to the newsletter from the footer or from the box that appears on the home page, your email address and the language of the site are stored in ARTISTPROOF’s list on EmailOctopus (Three Hearts Digital Ltd, United Kingdom), the service that sends the emails on our behalf. The lists are kept on servers in the European Union; the United Kingdom is recognised by the European Commission as providing an adequate level of data protection. You are subscribed only after confirming through the link in the email you receive (double opt-in, Art. 6(1)(a) GDPR). As proof of consent, EmailOctopus records the date, time and IP address of the sign-up and of the confirmation. The data is kept while you are subscribed; after unsubscribing, the address is kept only as excluded, so that we do not write to you again, unless you ask for it to be deleted.

The emails contain an invisible image and links that show whether they were opened and which links were followed: this is used only to understand which news is of interest. Every email ends with an unsubscribe link; after unsubscribing the address receives nothing more, and you can ask for it to be deleted by writing to info@artistproof.it.

The site uses no cookies, neither profiling nor analytics or advertising ones, and no third-party tracking tools: the visit statistics work without cookies, which is why you are not asked for consent when you open it.

The newsletter box on the home page remembers your choice in this browser only, with an entry in local storage (“ap-news”): if you subscribed it does not reappear; if you closed it, it reappears after 30 days. The entry holds only that choice and a date, is sent to no one, and you can delete it by clearing the site data in your browser. It is a technical tool needed to avoid showing you the box again and requires no consent.

Films are hosted on Vimeo and load only when you press play, with the option that asks Vimeo not to track viewing. From that moment Vimeo (Vimeo.com, Inc.) receives your IP address and the technical data needed to show the video, under its own privacy policy. Vimeo is based in the United States: the transfer relies on the EU-US Data Privacy Framework or on standard contractual clauses.

The map on the Contact page comes from OpenStreetMap and loads when it reaches the screen: the OpenStreetMap Foundation (United Kingdom, a country with an adequacy decision) receives your IP address to display it. Links to Instagram, Facebook, Vimeo and Google Maps (“Open in maps”) lead to external websites with their own privacy rules.

You may at any time ask to access your data, correct or delete it, restrict its use, object to its processing or receive it in a portable format (Arts. 15–22 GDPR) by writing to info@artistproof.it. You may withdraw your consent to the newsletter at any time, without affecting what was done before (Art. 7(3) GDPR). Providing your data is optional and there is no automated decision-making. You also have the right to lodge a complaint with the Italian Data Protection Authority (www.garanteprivacy.it).
